Motivated Marketing, a full-service advertising agency, is looking for a Traffic Coordinator to join our growing team. The primary function of this role is to oversee small projects, stages of larger projects and to manage bigger picture for a steady flow throughout the agency. For all projects, the Traffic Coordinator will work in our project management software, Workamajig. This individual sets schedules with deadlines for completion and assigns team members to each step in the process. The Traffic Coordinator then checks on the progress of the project and communicates with the Account Executive as needed. The Traffic Coordinator must be familiar with project objectives, creative spec sheets and the role and function of all team members. They must always be aware of creative schedules and deadlines at all times to ensure proper delivery of projects. They must be comfortable communicating with both creative team and account managers regularly. This person must be able to resolve problems with limited supervision. The ideal candidate is a marketing enthusiast with superb attention to detail, excellent communication and unparalleled organization skills.

Position responsibilities include but are not limited to:

  • Traffics all jobs within the agency, monitors status of projects within PMS, assigns tasks and communicates deadlines as needed
  • Monitors all projects to ensure appropriate instruction/materials are included 
  • Conduct weekly interdepartmental meetings to review statuses of active projects in the system
  • Monitor media deadlines and ensure they have received traffic instructions for radio and television partners as needed
  • Facilitate policy changes within Project Management Software
  • Monthly distribution and ongoing maintenance of Project calendar
  • Communicate issues to direct supervisor and account executives with a positive attitude while being able to handle multiple opinions in a fast-paced environment. 
  • Ensure team members across all departments have the resources needed to complete tasks
  • Manage the staff workload efficiently through scheduling and assignment of tasks  
  • Ensure tasks are assigned correctly and priority deadlines are managed when staff member(s) is on PTO or out of office
  • Monitor status of projects daily to be sure projects are on track to meet expected deadlines, communicate when issues arise

Position Requirements:

  • 1-2 years working with a project management system required
  • Strong organizational skills, with the ability to learn new systems and processes quickly
  • Extremely detail-oriented
  • Bachelor’s degree in business, communications, advertising, or related field of study
  • Ability to manage & prioritize multiple projects and schedules
  • Ability to work effectively both independently and as part of a team
  • Competency in Microsoft applications including Word, Excel, and Outlook
  • Ability to work in a fast-paced environment with tight deadlines
  • Ability prepare and interpret step-by-step action plans
  • Ad agency or marketing experience plus
  • Experience with Workamajig is preferred
